RRaisonné
Raisonné / Import & migration
For established galleries switching systems

Switch systems without starting again.

Bring the spreadsheets, exports and image folders you already have. Raisonné maps them, shows you what it found, and writes nothing until you approve it.

The process

Four steps, all of them reviewable.

Every import is staged first. You see the result before a single record is written.

01

Bring what you have

CSV or XLSX, Art Galleria and FileMaker exports, and folders of images.

02

Map the columns

Any column layout. Match your fields to Raisonné’s, rather than reformatting the file.

03

Review the matches

Images matched to works with a confidence read. Anything uncertain is flagged for you.

04

Commit, or undo

Written in one transaction, with whole-batch undo if something isn’t right.

Images to records

Thousands of photographs, matched to the right work.

The slowest part of switching is pairing images with records. Raisonné does the first pass and shows its working.

  • Exact filename matching from exported Image 1 columns onward
  • Matching by gallery or accession ID
  • Title and artist suggestions flagged for review
  • Manual override on any low-confidence match

Sales history

Your sales history becomes a market map.

Years of sales usually sit in the accounts, unused. Import them and they start informing who you call next.

  • CSV or XLSX from Xero, QuickBooks, MYOB or a spreadsheet
  • Buyer, amount and date land cleanly
  • Works link where the match is confident, flagged where it isn’t
  • Feeds Field Map automatically

Contacts

Your collectors come with you.

Bring your contact list from your mail program, CRM or spreadsheet.

  • CSV and vCard
  • Duplicates merged on matching email, never overwritten silently
  • Tags and notes carried across

Nothing is written until you commit

Every import is staged on the server and shown to you in full, with confidence levels, before anything is written — then committed in one transaction you can undo whole.

How long it takes

Live in two to three weeks.

That is a typical gallery, moving from a spreadsheet, a website export or an older system. The work is mostly yours to review rather than ours to do — mapping columns, confirming matches, saying which of two records is the right one.

  • Week one — your data staged and mapped, nothing written yet
  • Week two — images matched, duplicates and gaps shown for a decision
  • Week three — committed, and the gallery works from it

Estates and galleries with deep back-catalogues take longer, and should. A reconciliation pass is done with your registrar before launch, so the first day on the new system is not the day you discover what is missing.

You can run both

Nothing requires the old system to be switched off on a particular day. Galleries commonly keep it readable while the new catalogue is checked against it — which is easier when the import was staged and reviewed rather than trusted.
